Your emails are landing in customers’ spam

Customers say your emails go to their spam folder, or never arrive at all.

Applies to: Business email sent from your own domain, such as you@yourbusiness.co.uk.

Try these steps

  1. Test with two providers

    Send a short, plain email from your business address to two personal accounts at different providers, for example one Gmail and one Outlook.com address. Check where each one lands.

  2. Look at what you’re sending

    Emails that are only an image, contain lots of links, or attach unusual file types are more likely to be filtered. Include a normal signature with your business name.

  3. Check tools that send for you

    If the emails come from a booking tool, shop or website rather than your mailbox, look in that tool’s settings for “sender” or “domain authentication”. Many ask you to verify your domain.

  4. Look up your domain’s email records

    Use a free lookup such as MxToolbox to check your domain for SPF and DMARC records. Just note whether they’re found. Don’t change anything yet.

Test emails reach the inbox at both providers, and the lookup finds SPF and DMARC records for your domain.

When to stop and ask for help

  • Records are missing or show errors. Fixing them means changing your domain’s settings (DNS), and a mistake can stop all of your email.
  • Emails don’t arrive at all, not even in spam.
